International gifts? How to avoid delays.

During the holidays, many packages are sent abroad as a thank you or business gift. However, specific customs rules apply to international shipments. With the right documents and classification, you can prevent your shipment from being unnecessarily delayed.

What to consider when sending gifts

Be aware of high-risk products

Some products may pose extra risks when shipped outside the EU, such as alcohol, batteries, aerosols, animal-based food, or fireworks. Verify in advance whether your goods require special permits or additional documentation.

Always include a commercial invoice

For international shipments outside the EU, a commercial or pro forma invoice is mandatory. Clearly state what is in the package, where it comes from, which HS code applies and under what conditions it is shipped (Incoterms). Incomplete or unclear information often leads to delays.

Include a realistic value

The value on the invoice must match the actual value of the goods, including shipping costs. An inaccurate valuation can lead to additional checks or additional assessments.

Take into account the recipient outside the EU

In shipments to countries outside the EU, the recipient is usually considered an importer. That person is responsible for import duties and VAT handling. Inform the recipient in advance to avoid misunderstandings.

The correct classification of goods

A correct commodity code (HS code) is essential for smooth customs clearance. This code not only determines the amount of import duties, but also whether additional permits or restrictions apply. You can look up the correct code yourself via the official EU Customs Tariff (TARIC). By filling in the characteristics of the product, such as material type or composition, you gain insight into the correct rate item. Then write down the found HS code on your invoice and shipping documents to avoid delays.
